Welcome to Notary Prime LLC. By using our website, scheduling an appointment, or purchasing our services, you agree to the following Terms & Conditions.

1. Services Provided

Notary Prime LLC provides professional services including mobile notarizations, Remote Online Notarization (RON), loan signing services, apostille and document authentication assistance, VIN verification, field inspections, and related document services.

Notary Prime LLC is not a law firm and does not provide legal advice, prepare legal documents, select documents for clients, or determine the legal effect of a document.

2. Appointment Scheduling and Booking Deposits

Appointments must be scheduled in advance through our website or by direct arrangement with Notary Prime LLC.

Mobile Notary Booking Deposit: A $35 non-refundable booking deposit is required to secure a mobile notary appointment.

The $35 booking deposit is applied toward the final appointment total and is not an additional charge.

A mobile notary appointment is not considered secured until the required booking deposit has been received.

3. Cancellations and Rescheduling

Cancellations: If a mobile notary appointment is canceled, the $35 booking deposit is non-refundable regardless of when the cancellation is made.

Rescheduling: Requests to reschedule must be made at least 24 hours before the scheduled appointment for the existing booking deposit to be transferred to the rescheduled appointment.

Rescheduling requests made less than 24 hours before the scheduled appointment may require a new $35 booking deposit.

4. Identification and Signing Requirements

Clients must present acceptable, valid government-issued photo identification when required for the notarization.

For Remote Online Notarization, signers must successfully complete the identity verification requirements of the secure online notarization platform before the notarization may proceed.

The signer must be willing and able to communicate directly with the notary and must appear to understand the document being signed. Service may be refused when applicable notarization requirements cannot be satisfied.

5. Payment Terms and Service Fees

Any required booking deposit or advance payment must be paid before the appointment. Unless otherwise agreed, any remaining balance is due upon completion of services.

Mobile notary pricing may include notarization fees, travel fees, witness fees, printing or scanning fees, or other requested services.

Travel fees are based on distance and are separate from notarization fees.

Remote Online Notarization pricing may include a technology fee and a fee for each notarization performed during the online session. Current pricing is available on the Remote Online Notarization service page or booking form.

Apostille and document authentication services may involve government, shipping, courier, certified-copy, translation, or other third-party fees depending on the service requested.

Applicable charges will be disclosed during the booking process whenever reasonably possible.

6. Mobile Notary Travel

Mobile notary service includes travel to the appointment location requested by the client and accepted by Notary Prime LLC.

Travel charges vary based on distance. Clients are responsible for providing an accurate appointment address.

7. Remote Online Notarization

Remote Online Notarization is conducted through a secure online notarization platform using live audio-video communication.

Signers are responsible for having a compatible smartphone, tablet, laptop, or computer with a working camera, microphone, reliable internet connection, and access to email or text messages.

Signers must successfully complete the required identity verification process before the online notarization may proceed.

If the required identity verification cannot be successfully completed and the appointment cannot proceed, the payment is non-refundable. Payment will not be refunded because appointment time has been reserved and preparation and platform-related services have already been provided.

RON appointments may be rescheduled with at least 24 hours' notice, and the payment will transfer to the rescheduled appointment. Rescheduling requests made less than 24 hours before the appointment may require a new payment.

Not all documents are eligible for Remote Online Notarization. Eligibility may depend on the document type, receiving agency, destination, and other applicable requirements.

8. Witnesses

Certain documents may require one or more witnesses in addition to notarization. Clients should notify Notary Prime LLC in advance when witnesses are required.

Witness Fee: If a witness is requested and provided by Notary Prime LLC, the fee must be paid in advance.

Witness fees are separate from the $35 mobile notary booking deposit and are non-refundable once the witness has been scheduled for the appointment.

9. Document Responsibility

Clients are responsible for providing the correct document and ensuring required information is completed before signing unless otherwise instructed by the document issuer or receiving agency.

Notary Prime LLC does not determine whether a document is legally sufficient or appropriate for a client's individual circumstances.

Questions regarding the legal meaning, preparation, wording, or effect of a document should be directed to an attorney or the organization that issued or will receive the document.

10. Refusal of Service

Notary Prime LLC reserves the right to refuse or discontinue service when identification is insufficient, the signer is unavailable or unwilling to communicate directly with the notary, the signer appears unable to understand the transaction, fraud or coercion is suspected, required witnesses are unavailable, or the notarization cannot lawfully be completed.

11. Limitation of Liability

Notary Prime LLC is responsible only for the professional services it agrees to provide.

Notary Prime LLC does not guarantee that a document will be accepted by a court, government agency, financial institution, foreign authority, title company, employer, or other receiving organization.

Notary Prime LLC does not guarantee the legal effect, validity, enforceability, or outcome associated with any document or transaction.

12. Changes to These Terms

Notary Prime LLC may update these Terms & Conditions from time to time. Changes will be posted on this page along with an updated effective date.

13. Governing Law

These Terms & Conditions are governed by the laws of the State of Florida.

Remote Online Notarization Information: When you use Remote Online Notarization, information necessary for identity verification, credential analysis, the electronic notarial journal, and audio-video communication may be collected or maintained as required by applicable law and the RON platform being used.

2. How We Use Your Information

We may use the information we collect to:

  • Schedule, confirm, and coordinate appointments
  • Provide requested notary and document-related services
  • Verify signer identity when required
  • Process payments and booking deposits
  • Communicate with you regarding your appointment or service
  • Prepare, process, or return documents related to your request
  • Maintain records required by applicable notary laws and regulations
  • Respond to customer service questions or requests
  • Help prevent fraud, misuse, or unauthorized activity
  • Comply with applicable legal and regulatory requirements
  • Operate and improve our website and services

3. Remote Online Notarization and Identity Verification

Remote Online Notarization requires the use of technology that may collect, verify, or store information necessary to establish a signer's identity and complete the notarization.

Depending on the RON platform and applicable legal requirements, this may include government-issued identification information, credential analysis, identity proofing information, electronic journal entries, electronic signatures, and audio-video recordings of the notarization session.

These processes may be performed through an authorized third-party Remote Online Notarization service provider. Information processed by those providers may also be subject to their own privacy and security policies.

4. Information Sharing and Disclosure

Notary Prime LLC does not sell or rent your personal information.

We may share information when reasonably necessary to provide the service you requested, including with:

  • Remote Online Notarization service providers
  • Appointment and scheduling platforms
  • Payment processors
  • Secure document and electronic signature platforms
  • Shipping, courier, or delivery providers
  • Translation or document-processing providers when applicable
  • Signing services, title companies, attorneys, lenders, or other parties involved in a transaction when applicable

We may also disclose information when required by law, subpoena, court order, governmental request, law enforcement investigation, or other lawful process, or when reasonably necessary to protect our rights, clients, or business.

5. Payment Processing

Payments may be processed through secure third-party payment providers. Notary Prime LLC does not need to receive or retain your complete credit or debit card information when payment is processed directly through a third-party payment processor.

Payment providers may collect information necessary to process your transaction in accordance with their own terms and privacy policies.

6. Data Security

Notary Prime LLC takes reasonable administrative, technical, and physical measures designed to protect personal information from unauthorized access, disclosure, alteration, loss, or misuse.

We may also rely on third-party technology providers that maintain their own security measures for payment processing, online notarization, scheduling, electronic signatures, document storage, and other services.

No method of electronic transmission or storage can be guaranteed to be completely secure. Clients should avoid sending highly sensitive information through unsecured communication methods unless it is necessary for the requested service.

7. Data Retention

Personal information is retained only for as long as reasonably necessary to provide services, maintain business records, resolve disputes, comply with legal obligations, or fulfill other legitimate business purposes.

Remote Online Notarization Records: Florida law requires the electronic journal and required audio-video recordings associated with Florida Remote Online Notarizations to be maintained for at least 10 years after the date of the notarial act.

Other records may have different retention periods depending on the type of service, applicable law, contractual requirements, and the third-party platform involved.

8. Your Privacy Choices

You may contact Notary Prime LLC to request access to or correction of personal information that we maintain about you.

You may also request deletion of personal information when appropriate. Certain information may not be deleted when retention is required by law, necessary to maintain required notarial records, needed to complete a transaction, or otherwise permitted or required for legitimate business purposes.

You may opt out of non-essential marketing communications at any time.

9. Cookies and Website Analytics

Our website may use cookies and similar technologies to operate website features, remember preferences, understand website traffic, and improve the visitor experience.

Third-party website, analytics, advertising, scheduling, or embedded services may also use cookies or similar technologies according to their own policies.

Our website and services are not directed to children for the purpose of collecting personal information. If information concerning a minor is necessary for a legitimate notarization or document service, it will be handled only as reasonably necessary to provide the requested service and comply with applicable requirements.

Notary Prime LLC may update this Privacy Policy from time to time to reflect changes in our services, technology, business practices, or legal requirements.
